Quick answer
A WhatsApp chatbot is worth it if you get lots of repeated messages, people write after hours or you work with appointments or bookings. If you get few messages, the free WhatsApp Business app is usually enough. Since July 2025 Meta charges per message, but replying within 24 hours after the customer writes is free.
If your business runs on WhatsApp, this has surely happened to you: someone messages at eleven at night asking for your hours, prices or location, and by the time you reply the next day, they've already bought somewhere else. A chatbot can solve that, but it isn't always necessary. Here's when it is and when it isn't.
First: free WhatsApp Business already does a lot
Before paying for a chatbot, check whether you're using everything the free WhatsApp Business app offers:
- An automatic welcome message for first-time contacts.
- An away message outside your opening hours.
- Quick replies for the usual questions.
- A product catalogue with photos and prices.
- Labels to organise your customers.
For many small businesses, this set up properly is enough.
What a chatbot does that the app doesn't
A chatbot has a conversation with the customer: it shows a menu, understands what they choose and answers step by step, at any hour. It can take orders, book appointments, send your catalogue or hand the conversation to a person when needed.
When it's worth it
- You get lots of messages a day and most ask the same thing.
- People message after hours and you lose sales by replying late.
- You work with appointments or bookings: clinics, hair salons, vets, restaurants.
- You have a clear catalogue with fixed prices.
When it isn't
- You get few messages and can answer them yourself.
- Every sale is different and needs a conversation, as in business-to-business sales or custom services.
- Your customers expect to talk to a person from the first message.
What Meta charges for messages
Chatbots use WhatsApp's official business platform, and there Meta has charged per message since 1 July 2025. The key point: when a customer messages you first, a 24-hour window opens in which your normal replies are free. What you pay for are the templates you send yourself, especially marketing ones such as promotions. The price depends on the customer's country.
On top of that, most chatbots run through an intermediary platform that charges its own monthly fee. Always ask how much you'll pay each month, not just for the setup.
Three tips if you decide to get one
- Always leave the option to talk to a person.
- Keep the answers up to date: a chatbot with old prices does more harm than having none.
- Don't use it to send unsolicited advertising: it costs money and your customers may block you.
Frequently asked questions
Is WhatsApp Business free?
The app is: it includes welcome and away messages, quick replies, a catalogue and labels. What you pay for is the business platform that chatbots use.
How much does Meta charge per message?
It depends on the template type and the customer's country. Replies within the 24-hour window are free; it's mainly marketing templates that are charged.
Does a chatbot replace a person?
Not completely. It handles repeated questions, but it's always best to leave the option to talk to someone.
